MOTORHOME/CAMPERVAN RENTAL AGREEMENT/CONTRACT

Terms and Conditions
These terms and conditions apply to all hires of Trekker Voyages Limited vehicles and as such must be accepted by customers during the booking process for us to be able to proceed with a booking. A binding contract is formed when booking online and also when accepting these rental terms and conditions on the insurance form by ticking the box and with your signature.
Definitions and Interpretations
In these terms and conditions, the headings in in bold have the meaning described against each of them.
Agreement
The self-drive hire agreement comprising these terms and conditions, the Booking Form, the Booking Confirmation, the policy or policies of insurance covering the Vehicle and equipment/inventory of ours that you also hire, the Vehicle handover/return form, our invoice(s) and any correspondence we send to you containing details of the Vehicle and/or Hire Period and/or pricing and/or payment.
Booking Confirmation
The email sent to you with these terms and conditions and the Booking Form attached confirming the specific details and hire charge of the booking and confirming the Booking Deposit has been taken and next steps you need to take. The Agreement comes into effect when we send this communication.
Booking Deposit
We require a deposit of 30% per booking of the booking total.
Booking Form
The form completed online at the time of booking, which details the Hirer’s full name, date of birth and permanent address, Hire Period, the Vehicle requested, the names, number and ages of any additional drivers and passengers, any optional or ancillary services (such as bike rack, bedding, EU Travel, portable battery etc), the total charge for the booking and the deposit taken on completion of the Booking Form.
Hire Period
The period for which you request to hire the Vehicle, as shown by the Booking Form, including any extension to that period by reason of delayed return of the Vehicle (whether by agreement or not)
Security Deposit/Damage Deposit
We require a sum of £1,750 (£1,000 if premium insurance is selected) to be secured with us before the start of the Hire Period for the purposes set out below. This will be held as a “pre-authorised” transaction on your card. For bookings over 7 days, the security deposit must be paid in cleared funds in the form of bank transfer or card payment before you will be allowed to drive the Vehicle.
Vehicle
The vehicle or campervan or motorhome hired to you under this agreement and specified in the Booking Confirmation and/or the Vehicle handover/return form.
We, Our, Us
Trekker Voyages Limited (Company Registration number 15873006), 85 Great Portland Street, London, W1W 7LT.
You, Your, Hirer
The person or persons signing this agreement as hirer of the Vehicle, who completed the original Booking Form, or on whose behalf it was completed by another (and “your” and “yours” are to be interpreted accordingly).
1. Eligibility
​
No one other than the drivers named in the booking forms may drive the hired vehicles.
​
Driving licenses covered: UK, EU, AU & NZ (USA, CAN & SA licenses covered if you have 4 weeks of UK driving experience but an additional excess of £2,000 applies)
​
All named drivers must be between 25 and 79 years old, of good health and have held a full/valid driving licence for at least two years. For drivers between the ages of 76 and 79, an additional condition applies that they must not have had any at fault claims within the last 5 years.
The licence must be clear of any endorsements apart from up to six points for Speeding Offences, if there are any other current endorsements, special conditions may apply.
All driving licences required must be uploaded on booking and produced at vehicle collection. A driving license check code must be provided on booking which can be obtained from DVLA on “https://www.gov.uk/check-driving-information”
Persons with serious convictions within the last eleven years will not be permitted to drive the hire vehicles (including drink driving offences).
Visitors from abroad (does not apply to EU Countries) are advised to obtain an international licence. It does not automatically disqualify you from driving if you do not meet the required criteria, but we shall need to refer you to our insurance company to check if they will offer insurance cover.

2. Hire
​
We hire the Vehicle to you subject to this Agreement. By accepting these terms and conditions you confirm that you will strictly comply with the terms of the Agreement between us, and you must only accept these terms and conditions if you wish to be legally bound by them. You must not transfer or sub-hire the benefit to you of this Agreement or claim in any circumstance to own the Vehicle or to have rights over it beyond those conferred by this Agreement. We may transfer or assign the benefit of this Agreement to a third party, but only if we ensure that the third party is bound by and will honour its terms. We permit you to use the Vehicle only upon the terms and conditions of this Agreement.

Territorial Limits (Europe)
Andorra, Austria, Balearics, Belgium, Bulgaria, Canary Isles, Corsica, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Germany, Gibraltar, Greece, Guernsey (for non-residents) Hungary, Italy, Jersey (for non-residents), Latvia, Liechtenstein, Lithuania, Luxembourg, Malta, Monaco, Netherlands, Norway, Poland, Portugal, Republic of Ireland, Romania, San Marino, Sardinia, Sicily, Slovak Republic, Slovenia, Spain, Sweden, Switzerland, and Vatican City
Territorial Limits (UK)
Great Britain, Northern Ireland, the Isle of Man, and (for residents only) Jersey and Guernsey.
Collection time: Vehicles/Motorhomes/Campervans must be collected on the time selected in your booking on the first day of rental unless otherwise agreed in writing by Trekker Voyages.
Return time: Vehicles/Motorhomes/Campervans must be returned on the time selected in your booking on the last day of rental unless otherwise agreed in writing by Trekker Voyages.
3. Bookings
​
The Vehicle Hire Booking Form must be completed online and a minimum Booking Deposit of 30% paid (payable online by credit/debit card at the time of booking). On receipt of the completed Booking Form and your Booking Deposit, we shall send you a Booking Confirmation email detailing the next steps, and the Agreement comes into effect when we send this communication. If we cannot accept the booking, we will refund any Booking Deposit taken within 7 days.

A minimum of 30% deposit of the total amount is required to secure your booking. We only accept payments by debit/credit card (no cash). Upon booking, you must disclose your exact destination(s), event(s)/festival(s) as some festival(s)/event(s) are not allowed. Failure to disclose your travel plans/destinations/events/festivals ETC upon booking will result in the total loss of the £1,750 security deposit (£1,000 for premium insurance).

The booking deposit shall be deducted from all hire charges. Free cancellation within 48 hours of booking, please contact us as soon as possible to amend.
​
Bookings for EU travel add £15 per day (maximum charge of £225).
If you plan to travel outside the UK, you must inform us at point of booking as a VE103R document must be obtained by us prior to collection date.
PLEASE NOTE WE ONLY ACCEPT PAYMENT BY DEBIT/CREDIT CARD.
Unlimited mileage for UK travel and a Maximum of 3,000 miles for European travel.
A charge of £0.40 per mile will be charged for any mileage exceeding 3000 miles on EU trips only unless otherwise agreed in writing by Trekker Voyages Limited in advance.
We reserve the right to refuse or to terminate any hire in our absolute discretion, in such circumstances our liability to you will be limited to the charges you have paid us for your booking and these will be refunded to you, unless the termination is a result of your breach of the terms of this Agreement, in which case the termination would be treated as a cancellation by the Hirer and payment will be subject to the cancellation terms within these terms and conditions.
Vehicles left with us on pick-up of the campervan is at the owner's risk and Trekker Voyages will not be liable for any damages or theft.
4. Security Deposit
A refundable security deposit of £1,750 (£1,000 if premium insurance is selected) is payable upon vehicle pick-up. For bookings over 7 days, the security deposit must be paid in cleared funds in the form of bank transfer or card payment before you will be allowed to drive the Vehicle.
You must pay this to cover the possibility of damage to the Vehicle, the fixtures and fittings in it (including the fitted awning), damage/loss of equipment/inventory included in the hire (this includes but is not limited to keys and fuel), the possibility that a third party brings a claim for damages as a result of an incident during the Hire Period, the possibility that the Vehicle interior is not returned clean and free from odour, the possibility that the Vehicle toilet cassette (if applicable) and cassette housing is not returned empty and thoroughly cleaned, the possibility that fines and other legal charges have been incurred during the Hire Period (this includes but is not limited to parking fines, speeding fines, road tolls, the full costs associated with the Vehicle being impounded and on the spot fines), the possibility that you have exceeded the mileage limit of 3,000 miles for European travel, the possibility that the Vehicle is returned late or any other costs incurred by us as a result of your breach of these terms. Note that any such charges will be deducted from, but not limited to the Security Deposit. By entering into this Agreement, you accept our right to make such deductions.

The Vehicle will have a full tank of fuel at the start of the Hire Period and must be returned with a full tank of fuel at the end, if it is not, we will charge you for the cost of fuel, plus a Fuel Administration Charge (see clause 5). For those vehicles that have an onboard toilet, the Vehicle will have an empty and thoroughly clean toilet cassette and cassette housing at the start of the Hire Period and must be returned with an empty and thoroughly cleaned toilet cassette and cassette housing, if it is not, we will charge you additional cleaning/disposal costs (see clause 6).
We will refund the Security Deposit, net of any deductions (for eventualities described in this clause 4), on safe return of the Vehicle and all the equipment/inventory hired out with it, as long as it is in the condition in which it left our premises, as set out in the Vehicle handover/return form and subject to confirmation that no fines and/or other legal charges have been incurred. The Hirer accepts that our decision as to whether the Vehicle is returned in the same condition is final. Please note exterior washing is not necessary.

We shall refund your Security Deposit, net of any deductions (for eventualities described in this clause 4), within 7 working days of the end of the Hire Period by bank transfer. However, if there is an insurance claim as a result of an incident during the Hire Period, we reserve the right to retain the Security Deposit for as long a period as is necessary to calculate what we must deduct from the deposit so that we are fully compensated.
Where we incur costs that we set against the Security Deposit, we will provide you with an itemised invoice detailing those costs.
5. Charges
​
The charges stated on our invoice/booking confirmation, cover your use of the Vehicle during the Hire Period, and include basic hire charges, insurance (including charges for any non-standard insurance requirements, such as under 25 or over 75 drivers, or more than 6 points on licence, as specified in the Booking Form and Booking Confirmation), charges for any optional or ancillary services chosen by you, and any applicable taxes at rate prevailing at the date of our invoice.
Additional charges may arise from your use of the Vehicle during the Hire Period for eventualities described clause 5 and we will raise a separate itemised invoice for such charges. All charges are subject to final calculation after the end of the Hire Period and where possible will be deducted from the Security Deposit. Where charges exceed the Security Deposit, we will require a balancing payment to satisfy our invoice, which will be due within 14 days.
Some additional charge scenarios described in clause 5 can only be known/calculated following the Hire Period and receipt of third-party charges, however some are charges set by us.

Our standard rates for those potential additional charges set by us are:

Unauthorised Late Return Charge, which is £60 per hour or part thereof. Prior agreed late returns will be charged at £30 per hour.
-
Fuel Administration Charge of £25, plus the cost of the fuel if the Vehicle is not returned with a full tank of fuel.
-
Gas Administration Charge of £25, plus £30 if the Vehicle is not returned with full tanks of gas unless gas has been prepaid.
-
We apply a fair usage policy of 3,000 miles for European travel. We charge an Excess Mileage Charge of £0.40 per mile where you exceed the fair usage mileage for your Hire Period unless otherwise agreed in advance in writing by us.
-
Booking Amendment Administration Charge of £20 in the event you wish to make changes to your original booking. This excludes date changes.
-
Vehicle workshop labour rate of £70 per hour or part thereof for any vehicle maintenance required following your use of the vehicle.
-
Cleaning Charge of £50 per hour or part thereof if any extra cleaning is required following your use of the Vehicle.
-
£150 charge should you return the Vehicle without having emptied the toilet cassette or wastewater tanks.
-
£25 plus postage and packing per item to return property you leave in the Vehicle, providing you contact us within 7 working days of the end of the Hire Period. This charge covers our time spent arranging the postage.
-
We do allow Dogs/pets for an additional fee. This option must be selected upon booking. A charge of £250 will apply if evidence of pets is found if the option has not been selected.
-
It is against the law to smoke including e-cigarettes and vaping in all hire vehicles. A charge of £250 will be imposed if customers are found to have been smoking in our Motorhome/Campervan or a maximum fine of the full security Deposit of £1,750 (£1,000 if premium insurance is selected) could be imposed if damage is caused by smoking.
6. Extras
​
We can provide extras, as detailed on the booking form, and these are priced accordingly. If these items are missing or damaged, we also have the right to charge you for replacements.
7. Cancellation of Bookings/Change of Hire Dates
​
Cancellations must be in writing to info@trekkervoyages.com, and are charged as follows:
-
Free cancellation within the first 24 hours of booking. Any payments made will be refunded back to you within 7 days minus an administration fee of £15.
-
Should you cancel your confirmed booking after 24 hours of booking up to 40 days before commencement of hire, you will forfeit the booking deposit or 30% of the booking total (whichever is higher).
-
Should you cancel your confirmed booking 39 days to 15 days prior to commencement of hire, you will forfeit 60% of the booking total.
-
Should you cancel your confirmed booking within 14 days prior to commencement of hire, or fail to turn up for commencement of hire, you will forfeit 100% of the total hire cost.
-
This will also apply if, upon inspection of named drivers' licences, they are found to be invalid or do not comply with the information stated on the booking form.
-
We recommend that the hirer takes out travel insurance.​

Change in hire dates must be in writing to info@trekkervoyages.com, and are charged as follows:
​We understand that plans can change, so we allow date modifications subject to availability. A date change is only allowed once as long as it is not within 40 days of your original hire date. Please note:
-
You cannot cancel a booking where you wish to change your date or a date change has been processed.
-
Full payment will be required for the entire booking before the date change is processed.
-
You cannot reduce the number of days of hire when changing dates.
-
There will be no refund for any reduction in prices, extras or insurance. For example, if changing dates from peak season to low season, no refund will be given for the reduction in price.
A £99 administration fee will apply to process the change plus any change in hire costs, extras and insurance.
If you need to adjust your booking, please contact us as soon as possible, and we’ll do our best to accommodate your new dates.

8. Payment
​
Full payment is due, 40 days prior to collection of the vehicle. For hire within 28 days of booking, full payment is required upon booking.
A security deposit is taken upon collection of the vehicle of £1,750 (£1,000 if premium insurance is selected) and is fully refundable upon safe return of the vehicle on the agreed date and time unless otherwise agreed by Trekker Voyages Limited subject to the conditions outlined in clauses 4, 5 and 6.
9. Availability
​
In circumstances beyond our control if the Vehicle/Motorhome/Campervan previously booked by the hirer is not available due to accident, theft, weather conditions, or any other reason or circumstance, then we will endeavour to supply a replacement Motorhome/Campervan of similar size and specification, if this is not possible then we will refund all monies paid immediately. Trekker Voyages will have no obligation whatsoever regarding refunding or providing compensation for any monies paid for campsites booked, events booked, travel booked, or any other onward bookings or losses incurred as a result.
10. Insurance
​
All Motorhomes/Campervans/Vehicles are comprehensively insured for the named drivers during the hire period only as detailed on the booking form. Up to one additional driver can be added at an additional charge of £10 per day.
A refundable damage/security deposit of £1,750 (£1,000 if premium insurance is selected) is payable upon vehicle pick-up.
In the event of an insurance claim against a 3rd party, the full £1,750 (£1,000 if premium insurance is selected) may be taken to cover our insurance excess charge. Any damage to the vehicle during the hire period that is not covered by an insurance claim will be deducted from the security deposit; this will include any loss/damage of equipment.

Every accident or any damage or defect must be reported to Trekker Voyages Limited immediately by telephone 07459 334040. An accident form may have to be completed at the end of the hire period.
​
Any damage to tyres, windscreen and any theft of personal property is not covered by our insurance, and any such damage or loss shall be at your expense. Trekker Voyages recommends that the hirer takes out their own personal effects insurance.
​
Driving by non-named drivers or late returns of the Motorhome/Campervan renders the insurance invalid and the driver therefore commits an offence under the road traffic act and will be solely responsible for any damages or personal injuries incurred and the full security deposit will be retained.
Insurance is only for the Vehicle and for any equipment/inventory that belongs to the Vehicle. The Vehicle has comprehensive insurance for the first and any other named drivers, providing that the drivers have held a full UK, EU, AU, US, CA, NZ or SA licence for a minimum of 2 years, are aged between 25 and 75 and only two (2) drivers in total can be insured for any one Vehicle providing they meet all the necessary requirements (see below).
The insurance does not cover towing charges (this will be covered by your excess), or where the Vehicle is driven off road, on unsurfaced roads, without due care and attention, negligently, or where the driver is under the influence of alcohol or other drugs. You will therefore be liable for the full costs of damage caused or recovery costs incurred in such circumstances.

Our Vehicle Insurance policy is subject to the following requirements:

European travel is permitted by prior arrangement only and is subject to additional charges.
-
No driver to have been suspended from driving a motor vehicle or motorcycle for any period within the last three years.
-
No driver to have had been convicted of more than 2 offences with a maximum of 3 points per conviction or a single 4 or 6 point conviction in connection with the driving of a motor vehicle or motorcycle and/or have had my licence endorsed or penalty points imposed within the last 5 years, this includes any expired endorsements that still appear on your driving licence check.

No driver to have been involved in more than one road traffic accident within the last 3 years that was judged to be their fault.
-
No driver who has had their motor vehicle insurance cancelled, declined, refused, or subject to the imposition of special conditions by a motor insurer as a result of claims experience.
-
No driver to hold any of the following occupations:- professional entertainer/musician, professional sportsperson, connected to racing or the press of any sort.
If you fail to provide us with full and accurate information, your insurance may be invalid. In this case you will be liable for all losses howsoever sustained during the Hire Period, including claims by third parties.
​
You are advised to take out your own personal effects insurance and obtain adequate holiday / travel insurance to cover any unforeseen circumstances.
11. Limitations & Liabilities
​
Trekker Voyages Limited accepts no responsibility for replacement vehicle costs, travel or accommodation costs or any other loss claims arising from a Motorhome/Campervan breakdown or accident.
The Hirer:

Is liable for any cost incurred for speeding or parking fines, congestion charges or any other offences committed against the road traffic act regulations.
-
Must remember that although these are leisure vehicles, it is an offence to drink and drive.
-
Undertakes responsibility for the control of the vehicle on hire to you.
-
Is liable for any damage to the vehicle or contents during the hire period.
-
Shall not tow any trailer or vehicle behind the hired vehicle.
-
Shall not carry more passengers than the seating capacity of the vehicle, as defined in the vehicle specifications or allow the vehicle to be overloaded, 3.5 tons gross.
-
Shall ensure that the driver and all passengers required by law to do so shall, at all times when the vehicle is being driven wear the seat belts provided.
-
Shall not use the vehicle to carry passengers or goods for hire or reward.
-
Shall not, without written consent from Trekker Voyages Limited, remove the vehicle from the UK mainland.
​
Prohibited use of the vehicle is based on both the safety of the hirers and the preservation of our campervans. Prohibited use includes, but may not be limited to:

For carrying persons for hire, gain or reward.
-
To carry any inflammable, explosive or corrosive materials.
-
For using the vehicle for a purpose for which it is not designed including racing or driving in a dangerous or reckless manner.
-
For carrying illegal substances or products either for commercial purposes, financial gain, or delivery of such goods.
-
For driving the vehicle in an unsafe manner or in an unroadworthy condition.
-
For driving the vehicle on unsealed and non-public roads.
-
Leaving with the ignition key in or on the vehicle or unlocked while it is unoccupied.
-
Submersion in water or in contact with saltwater.​
​
If the vehicle is used as above, you have breached the terms and conditions of hire and are liable for the cost involved to repair or replace the campervan/motorhome.
12. Breakdown and Accidents
​
In the event of a breakdown or accident, a recovery and repair service is provided for all our Motorhomes/Campervans (details inside vehicles).
​

Every accident or any damage or defect must be reported to Trekker Voyages Limited immediately by telephone 07411 589028.
-
You are authorised to spend £100 on any necessary repairs and/or replacement parts, and we will reimburse you against a valid VAT receipt.
-
Any repair above £100 will have to be authorised by Trekker Voyages.
-
Any breakdown, malfunction or damage caused by your negligence must be repaired/made good at your own expense.
-
An accident form may have to be completed at the end of the hire period.
-
Do not accept liability in any circumstances.
At Trekker Voyages, the safety and security of our customers and vehicles are our top priority. To ensure a smooth and stress-free experience, we have established the following guidelines to be followed in the event of an accident, theft, or damage involving our campervans.
Reporting an Accident:

12.1 Immediate Action: In the event of an accident, you must:
-
Ensure that everyone involved is safe and provide assistance if necessary.
-
Contact emergency services if there are any injuries or if it is required by law.
-
Safely move the campervan out of traffic, if possible, without putting yourself or others at risk.
12.2 Exchange Information: Collect the following information from all parties involved in the accident:
-
Names, addresses, and contact details.
-
Vehicle registration numbers and details of any other vehicles involved.
-
Insurance details of all parties.
-
Names and contact details of any witnesses.
12.3 Photographic Evidence: Take clear photographs of:
-
The scene of the accident from multiple angles.
-
Any damage to the campervan and other vehicles involved.
-
Relevant road signs, traffic signals, and the overall environment.
12.4 Reporting to Trekker Voyages:
-
Contact Trekker Voyages immediately after the accident at 0745 9334040.
-
Provide a detailed account of the accident, including all collected information and photographs.
-
Complete and return the Accident Report Form provided by Trekker Voyages.
12.5 Police Reporting:
-
If the accident involves injury, damage to property, or a third party, you must report the incident to the police and obtain a Police Report or Incident Number.
-
Provide Trekker Voyages with a copy of the Police Report as soon as possible.
Reporting Theft:

12.6 Immediate Action: If the campervan is stolen, you must:
-
Immediately contact the police to report the theft.
-
Obtain a Police Crime Reference Number.
12.7 Reporting to Trekker Voyages:
-
Notify Trekker Voyages as soon as possible at 07411 589028 after reporting the theft to the police.
-
Provide Trekker Voyages with the Police Crime Reference Number and any details regarding the circumstances of the theft.
12.8 Cooperation: Fully cooperate with the police and Trekker Voyages in any investigation regarding the theft of the campervan.
Reporting Damage:

12.9 Minor Damage:
-
For any minor damage to the campervan (e.g., scratches, dents), report it to Trekker Voyages immediately.
-
Provide photographs and a description of the damage.
-
Minor damage must still be reported upon the return of the vehicle, even if it seems insignificant.
12.10 Significant Damage:
-
If the damage impairs the campervan's drivability or safety, stop driving and contact Trekker Voyages immediately for further instructions.
-
Significant damage may require the vehicle to be inspected or towed, which Trekker Voyages will arrange.
12.11 Vandalism:
-
If the campervan is vandalised, report the incident to the police and obtain a Police Report or Incident Number.
-
Notify Trekker Voyages immediately with details of the vandalism and the Police Report.
Excess
​
12.12 Insurance Coverage:
-
The hirer is responsible for understanding the terms of the insurance coverage provided and any excess that may apply in the event of an accident, theft, or damage.
12.13 Excess Payment:
-
The hirer will be liable for the excess amount as specified in the rental agreement. This applies to all accidents, theft, and damage claims unless otherwise agreed upon.
12.14 Non-Insurable Damage:
-
The hirer will be responsible for the full cost of any non-insurable damage, including but not limited to interior damage, loss of keys, or negligence.
Return of the Campervan

12.15 Inspection:
-
Upon return of the campervan, a thorough inspection will be conducted to assess any damage not previously reported.
12.16 Damage Charges:
-
Any damage identified during the return inspection that has not been reported will be assessed, and charges will be applied according to the terms of the rental agreement.
13. General
​
The Motorhome/Campervan and its contents remain the property of Trekker Voyages Limited at all times.
The hirer is required to keep the vehicle securely locked at all times when it is left unattended, and to refrain from any action or omission which may prejudice Trekker Voyages rights to the vehicle. Trekker Voyages Limited reserves the right to retain in part or whole the security deposit if additional deep cleaning or repair is required upon return of the vehicle.
All our vehicles are fitted with state-of-the-art tracking and monitoring systems.
Trekker Voyages Limited reserves the right to vary rates and conditions at any times.
14. Vehicle Conditions

The hirer acknowledges the vehicle, and its contents are free from defects or damage, other than as specified by Trekker Voyages Limited on the vehicle appraisal form.
Before the commencement of hire the hirer is advised to check the vehicle thoroughly before leaving the premises of Trekker Voyages.
You must use the campervan and its contents in the way explained to you and a handbook is provided to you to explain its use. You must use the campervan and its contents responsibly and must follow instructions given, where instructions are not provided, you must assume that ‘normal’ and ‘common sense’ rules apply. The vehicle must be returned in the same condition as when hired, with the interior and appliances clean.
15. Appliances
​
Please take caution when using appliances.
Please ensure that the gas cylinder is attached correctly, as shown, and that the gas is turned off when not in use. The renter must not leave naked flames including the hob unattended when on. You must also ensure that the heater, all appliances, the pump and the gas cylinder are turned off when driving and that the front swivel seat is turned in the correct position before travelling, this includes driving on private land such as campsites and if these conditions are breached, we will not be held responsible for any injury caused. The hirer must also ensure that the roof is secured before driving, this also includes driving on private land. Any damage caused because of not following these guidelines will be classed as negligence and you will be liable for the repair costs involved.
The fridge can be used whilst driving, however, please ensure that it is powered by the leisure battery as described in the handbook, not set to the van battery as this would drain the vehicle battery resulting in a potential unnecessary breakdown.

16. Fuel, Oil & Gas
​
The hirer will be liable if incorrect fuel type is used.
The fuel level should be the same when returning the vehicle as it was when you left as shown on the vehicle appraisal form
The hirer will be responsible for the regular checking of oil and water levels, and the use of the correct type of fluids.
Our vehicles are fitted with refillable gas bottles which can be replaced at any fuel station supplying LPG (charges may apply), the vehicles are supplied with one full and one part-full gas bottle. If you require additional gas, it will be at your own cost.
17. Suitable Persons

Trekker Voyages has the right to refuse to handover the Motorhome/Campervan upon arrival of the hirer to any person who in our opinion is not suitable to take charge of the vehicle, due to any concerns we have for the safety of the vehicle or its occupants or other road users. Trekker Voyages will have no obligation whatsoever with regard to refunding any monies paid for campsites booked, events booked, travel booked, or any other circumstances.
18. Vehicle Keys

Vehicle Keys must never be left in unattended vehicle. Vehicle must be securely locked when unattended and keys should never be left unattended in the vehicle when not use and all reasonable measures must be taken by the hirer to ensure the safety and security of the vehicle. Loss of vehicle ignition key will result in a replacement charge of £300 and all other costs involved in the recovery of the vehicle.
19. Vehicle Weight

It is the hirer’s responsibility to ensure the gross vehicle weight is no more than 3,500KG when fully loaded and must ensure contents are secure at all times.
20. Pets
​
We do allow Dogs/pets for an additional fee. This option must be selected upon booking. A charge of £250 will apply if evidence of pets is found if the option has not been selected.
21. Smoking
​
It is against the law to smoke in all hire vehicles including the use of e-cigarettes and vaping. A charge of £250 will be imposed if customers are found to have been smoking in our Motorhome/Campervan or a maximum fine of the full security Deposit of £1,750 (£1,000 if premium insurance is selected) could be imposed if damage is caused by smoking.
